Medical conferences are not just for doctors. They can also be set up and organized for nurses as well. Nurses do a lot more things than they use to a few decades ago. They assist doctors with surgery, they run entire hospital wards, take care of medications, educate patients and more. So organizing an event like this can be beneficial for nurses.
The first thing that you need to do is to get in touch with the facility that you want to have the conference. You need to make sure it is the manager of the facility and let them know the dates that will be needed. If at all possible try to give them an estimate of the start time as well as how many nurses you think will be attending. Medical conferences can be held in a variety of different places so, it shouldn’t be that difficult to secure a place for yours.
When you are starting your planning, you should make sure that you have your date set for at least three months in advance if not more. This will give those you plan to have participate in it enough time to make sure that they can clear their schedule for the conference. Nurses are very busy people and need plenty of time to plan for things. Never schedule a conference during Christmas or other holidays.
You will need to figure out what the purpose of your conference is. These kinds of medical conferences really need to be clearly defined and make sure there are goals and objectives for the nurses. It could revolve around issues that might introduce nurses to some new technology or it could be new information on state licensing or it could be about advancement through education. Any speakers that you have should also know the purpose of the conference ahead of time as well.
Have a good list of speakers that fit the purpose of your conference. Make sure that you round up your speakers early in your planning stages so that they have plenty of time to prepare themselves. A good conference is going to include many relevant presentations that will make it worth the time spent there by the nurses. Make sure your speakers have good experience when it comes to the topics they will be covering. If a speaker is going to talk about HIV positive patients then they should have a good background working with these patients.
Make sure to have plenty of copies of all materials that will be needed the day of the conference. You should include a list of the speakers with the conference material, the topics and details about the speakers. Also provide them with resource materials that they might be able to use to get more information once they go home.
Try to provide your attendees with some sort of refreshments such as water, tea, coffee and perhaps some light snacks. If you can’t have this available, make sure to let everyone know that they will need to bring their own food since none will be available.
You will need to publicize your conference and the best way to do that is to contact the media. You also should put the information in major nursing publications. The best thing to do is to put the announcements out there no later than three months prior to the event. You should provide a press release as well that gives all the details of the conference. You might also want to see if you can’t get a local reporter to cover the conference as well.
